TITLE:  Executive Director

REPORT:  Core (Board of Directors)

JOB SUMMARY

This position’s primary responsibility is to work with the Core (Board of Directors) in implementing strategic initiatives and overseeing the general operations of Little Portion Friary. Supervises staff, volunteers, and contractors.

ESSENTIAL DUTIES                                                                                                            

Volunteer Relations/Public Relations                                                                          40%

  • In conjunction with Core responsible for recruitment, interviewing, and recommendations for new volunteers. Includes conducting tours and staffing recruitment initiatives.
  • Create and manage volunteer work schedules and call lists in conjunction with the volunteer coordinator. Take duty of shift supervisor as the need arises.
  • Prepare regular communications to volunteers.
  • Oversee and setup training schedule and provide ongoing training of volunteers utilizing multiple training media as needed.
  • Create organize and audit volunteers’ documentation.  
  • Supervises weekend community volunteer groups; maintains strong communications with volunteers and periodically visits them on evenings and weekends.
  • Represent LPF as the primary spokesperson to media and the broader community with verbal presentations and written materials. Manage LPF kiosk as the opportunity arises.
  • Keep current with state and federal employment laws and regulations.

Administrative                                                                                                             25%

  • Works closely with Core and committees. Attend Core meetings. Prepare agenda and related exhibits for such meetings.
  • Work with Core to create and implement strategic plans and other improvement initiatives.
  • Draft budget, policies, procedures, and guidelines for approval by Core.
  • Responsible for hiring, interviewing, and recommendations for new hires.
  • Responsible for personnel matters including disciplinary action and dismissals.
  • Maintain payroll records for accuracy and compliance.
  • Approves expenditures for payment. Monitor budget.
  • Track time and attendance for staff.
  • Handle employee and volunteer issues/problem-solving. Supervise and conduct performance evaluations as needed
  • Supervise and conduct performance evaluations as needed.
  • Provide oversight of plant maintenance and equipment.
  • Coordinates regular building/systems inspections; maintains reports

Grant Management/Fundraising                                                                                 15%

  • Oversee writing, administration, and compliance grants in collaboration with financial staff and grant writers.
  • Connect with local and state stakeholders.
  • Organize campaigns that will lead to funding sources from both corporations and individuals.

Program Management                                                                                                 15%

  • Liaison with Guest Services as they maintain engagement and interaction with guests.
  • From time to time admit guests, discuss guidelines, and tour the facility.
  • Ensure guidelines are followed.
  • Explore ways to enhance services.

Information Technology                                                                                              5%

  • Oversee technology for Little Portion Friary.
  • Secure assistance from outside IT resources as needed.
  • Oversee maintenance of LPF website.
  • Use basic technology for written documents and general communication.

Other duties as requested by Core, including meetings and various projects;                                  

ACCOUNTABILITY

The Executive Director reports to the LPF Core.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong communication and interpersonal skills relating to stakeholders; volunteers, donors, guests, governmental agencies, other agencies, services, and the broader community.
  • Previous experience in administrative/supervisory capacity.
  • Ability to plan and organize multiple projects.
  • Strong attention to detail and follow-through.

QUALIFICATION STANDARDS

Bachelor’s degree in a related field with 2 plus years of experience handling similar duties. Experience in Social Work/Human Services and a strong background in Volunteer Administration are recommended. Salary commensurate with experience.

ERGONOMIC REQUIREMENTS

Sitting, standing, stooping, bending, light lifting, carrying, and repetitive movements due primarily to computer work.  All of the ergonomic requirements must be performed without significant risk of injury to oneself or others, or otherwise demonstrate or explain how one can perform essential functions listed above.
